英文信件要怎麼說比較好?

假如你跟對方已是有交往的公司，而那些order是已經確實的，你的寫法是直接和清楚。

When can "we" confirm the shipping documents? 當中如用we意思便包括你自己，所以假如對方由於某原因正等著你的confirm的話便可能不太清楚，可以改為When can you confirm the shipping documents?

假設他一直不給我們的話，叫對方「盡快用e-mail傳訊給你」也沒有用吧。我會問對方為何不能傳來或者要求對方給予一個限期(不知你的業務是甚麼，假如是訂購是否可以限期未能送達便退訂，或已付費對方卻未能送貨的合約"後果"。

寫得像你的直接寫法可以是：
Please tell us when you can confirm the shipping document?
Please confirm a date that the shipping document can be provided?

如果都已經確認好文件內容無誤
想請他盡快寄正本到我的公司
Please mail the original documents to my office once they are verified/confirmed.

Dear Mr. ABC,

To continue our project without any delay, you will need to sign off the shipping document by this coming Friday. We would appreciate your timely approval of the document.
