The tone of your original letter was rather impolite (so do the first answer made by another colleague). Not to mention the grammatic mistakes in both your original letter and the first answer, such tone will not solve any problem but make things even worse. Noting that you are making a request (it appears to me that your counter-part has a stronger bargaining power than you), you should not use a blaming tone.
