We regret to learn from your letter of 9 April 19XX that the textiles in Bale 3 have found damage and material in Bale 2 are not as the samples.

According to our result of investigation, we packed the order care and with witnesses observing the packing process to assure the standards. Futthemore, the shipping company inform me that the delivery was complete and in good condition during unloading. Consequently, it seems unlikely that the problems are stemming from the packing, and the damage may occur during inland transportation.

As far as we are aware, the revised contract, made with Ms John Chan, shows that you order the economical material as an alternative, so they are not like the samples of CX106.

We appreciate your patronage of our products and have good business relationship between us.

However, we regret that we can not accede to your request. You have been inconvenienced by this unfortunate situation, we would suggest that you make your claim on the inland forwarding agent. Upon request, we can ship the textiles for 750 meters of CX106 with priority and provide the shipment with payment term of within 60days.

Furthermore, the shipping company informed us that the delivery was completed smoothly and the goods were in good condition during unloading. It seemed that the problems were not caused by the packing, and it was very likely that the damage occurred during inland transportation.

As far as we are aware, the revised contract, made with Ms John Chan, indicated that you had ordered the economical material as an alternative, which were different from the samples of CX106.

We appreciate your patronage of our products and treasure our good business relationship. However, we regret to inform you that that we cannot accept your request as the responsibility is not on our side.

Given this unfortunate situation, we would suggest you to make claim on your inland forwarding agent. Upon request, we can ship the textiles (750 meters of CX106) with priority delivery to meet your urgent need. Payment term for the shipment is within 60 days.
