In order to avoid your personal letters can not be received properly , all team members should update your new address while you have moved out from the Dormitory. All un-owned letters will be shred by the Team Residence Office after 2 months.

'correctly' is a better word than 'properly', ie to the correct person; also ' letters ' will be delivered' instead of ' letters can not be received' is better.
2.係用update 定係updated
Use updated .
Passive voice is used as'keep us updated of...' instead of 'update...' to give a better sense .

You can either receive a letter or NOT receiving a letter. It is impossible for you not to receive a letter just because you do not receive it correctly. Hence we should replace "properly" by "successfully"

The only occasion that you do not receive a letter due to your mistake is when you still stay in that premises but you do not follow the proper procedure to receive the letter, such as not going to the management office to collect it, etc.
