Dear Ms Ma,
Order CX309
Your letter & cuttings of 8 Apr has been received. We are sorry to hear about the problem you experienced with our bulk products.
Our company maintains rigid inspection standards for all orders. As far as I know, imperfection may occasionally occur but mostly within tolerance. In this case, our merchandising & QC team has reviewed above order seriously especially in Bales 2 & 3 that you complained.
Refer to our record, we found the similar data with you in internal inspection reports which have marked the same quality problems. The reason why we didn’t raise up the problem is the blemishes quantity in the bulk goods are within agreed tolerance. According to the consignment & our long-term business running, we are well-known that there are 3.5% tolerances for every order.
For CX309, this is an order with huge qty 180,000meters, therefore approx 1.8% of the defected quantity and data within tolerance. We deeply regret to keep your clients waiting. However, we can take no liability to re-arrange the defected quantity, hope you could understand our situation.
Lastly, sorry again for any inconvenience caused, kindly please contact with our merchandising team – Mr Leung for re-ordering the replacement meters of this order (unit price: USD2.95/m) & our lead-time will be 35days as repeat order. By the way, thank you for supporting us and we look forward to our next business opportunity in coming future.
Yours faithfully,
Japanese ABC Ltd.,
