It was around the evening before the day when the power being shut down in your place. Unexpectedly, we received our customer's notification that the goods mentioned below has arrived at the destination port. But up to now, your relevant shipping document has not reached us. It is incredible/un-believable and we need your explanation in details for the serious mistake. We hope you will always take caution and pay special attention in the future.
Besides, we did send you the final confirmation that the shipment for all the styles listed below must be through sea-freight. We are wondering why Style No.123 and 456 were delivered by air-freight. Ridiculously, we are even asked to pay for the air-freight chargs incurred. Did you get such specific instruction from someone else?
Yesterday, we have received multiple phone calls from our customer, enquiring about their previous request for meeting their required shipment dates in respect of the following styles. It is very urgent for them since they are starting the works for stragedy on the market advertising, the analysis of the market in various levels, and the distributing of the retail spots, etc. The remaining one thing they need is your confirmation on whether you can deliver the goods on the shipment date which they are demanding.
However, we and our customer appreciate your efforts and help very much.
For your information, our customer did in fact make the same strong request to the other Production departments, such as specific styles, sizes, shipment date, etc. There were, of course the same problems as you, like material supply, production documentation, etc.. They still could solve the problems and fulfill the customer's request, collaborating together in defeating the competitors, getting the goods for sale in the market ahead of time in success.

1. On the night before you had the accident of electricity broke down, we have already received a notice from the customer that the captioned goods had arrived the destination port. However, as of now we still have not received your corresponding shipping document. This is absolutely unbelievable that such a big mistake would have happened in your end. We need your detailed explanation on what has happened and hopefully you will pay more attention to such kind of problems and handle them with care in the future.
In addition, since we have already given you the final confirmation and direction on having all the following styles to be shipped via vessel, why did the following two styles (123 and 456) were shipped via air freight ? At the same time we were told to be responsible for the air freight cost for these 2 styles. We would like to know who has given you such special instruction for shipping the goods with an arrangement other than what we have confirmed and directed.

2. We have received several phone calls from the customer yesterday enquiring whether the delivery schedule of the following styles can meet their required schedule. They are very eager to obtain such information because they are already at the stage of preparing the strategy on launching the advertisement, distribution and retailing spots. The only information lacking is your confirmation on whether your delivery date can meet with the customer’s requirement.

Even though they were facing the same problems of materials delay and problems on producing documents, they could cope with the customer’s requests and deliver the goods on time for promotion and beat down the other competitors.
