只要在outlook內建立Personal Folder, 用personal folder來做send 收email 就可以了.
Personal Folder可任意擺放在Harddisk, 咁email 就不會積左在server上.
To Create a Personal Folder
Open Outlook.
From the File Menu select New, then Personal Folders File (.pst).

If you are using Outlook 2003, from the File Menu select Data File Management, then Add. Select from the list - if you think you might go back to using Outlook 2000 in the future, then choose the option that is compatible with Outlook 2000.
In the Create Personal Folders box:
Click on the Down Arrow to get the Save in box, and choose Local Disk (C:) then "Documents on this PC".
DO NOT just accept the default location of the 'Outlook' folder, as this will save it to your personal profile, where space is very limited. Also, DO NOT save it in your personal file store (the "My Documents" folder), or your Desktop, as the file can get very large. It will slow down your PC, and you could lose some emails.
In the File name: box delete the * symbol and enter a suitable name, e.g. Personal Folders.pst or Outlook.pst, and then click the Create button.

In the next box, again name the folder Personal Folders, and click the OK button.

We would advise you not to set a password, as there is no way of getting it back if you forget it.
Using Personal Folders
Open Outlook, if it is not already open.
If the Personal Folders cannot be seen, then from the View menu choose Folder List.
If the Personal Folder has just been created, sub-folders will need to be created:
Single right click on the Personal Folders and choose New Folder.

In the Create New Folder window, you would usually accept the default of Mail Items in the Folder contains: box. However, the drop-down box also contains the following options, which you can use if necessary:
Appointment Items, Contact Items, Journal Items, Mail Items, Note Items, Task Items
In the Name: box enter the name for this new sub-folder, e.g. Inbox. You could also set up sub-folder for items from a certain person, or about a certain subject.
Items from the Exchange server based mailbox Outlook Today - [Mailbox ...] can now be dragged and dropped * into the appropriate sub-folder within Personal Folders. This will free up space in your Exchange mailbox.
You could also use Outlook Rules to automatically move items from your Exchange mailbox to your Personal Folders.
Remember that the Personal Folders file is stored on your hard disk, so it is your responsibility to back it up regularly, in the same way that you would back up any other file on your computer. They can get very large, so you will probably need to backup to CD.
Notes:
* Drag-and-drop: an item (file, e-mail, folder) is selected using the mouse and then while holding down the left mouse button "dragging" the cursor and the "attached" object to the new location. The item is "dropped" from the cursor by releasing the button.
