1/. shipment advice, shipment sample, invoice and packinglist (in addition, certificate of origin and inspection certificate, if any).
2/. check if the short shipped yardages are within tolerance (+/- 5%, or contract agreement), check if the factory can make replacement. If not, discuss it with your boss or manager before talk to your customer.
3/. your customer should responsible for it as the fabric is finished and in factory ready to cut now. Usually, your customer will ask you to adsorb it, so, check if it can be use for your other order for other customer or sell it to shamshuipo. This dependence on the relationship between your company and your customer. But, also discuss it with your boss or manager before any action takes.
4/. fabric as it takes time for production.
5/. discuss it with your boss or manager and get the solution with your customer to minize your risk for the cancellation of a big order.
6/. it always happen regardless reasonable or not. So, check with your customer if they can accept late shipment specify how late will it be. Or, ask your factory to make partial quantity by airfreight and balance quantity or vessel (this is good to warn your factory to take care their production schedule too).
7/. more or less same as point 1, but this time you have to double check all details in the shipment sample are according to your approval sample for security sake.
Finally, remember you cannot suffer all the risk by your own. The the more information you covered the higher risk you take. So, discuss it with your boss and manager first. Or, if you're the boss, you have to discuss it with your customer. Normally, you both will come up with some solutions (if your customer is a reasonable biz man). Both of you will not totally gain or total lost.
It is good for you to ask, at least it shows that you want to know more but not run from it. The more you know, the more experience you get and you'll find that everthing can be solved with a good solution.
